Reed College on Their 25Live Rollout
The Challenge
Reed College had been using EMS for over two decades, but over the past several years, event scheduling needs grew while supported features waned. As workarounds for a declining system became the norm, scheduling became tedious. “We had a static event request form that folks had to fill out that was adequate, but it didn't give people any real information,” explains Robert Brigham, Event Manager at Reed. “Then they had to wait until they heard confirmation from our office to find out what space of [those] they listed were available before they could move forward.”
By 2021, EMS simply couldn’t keep up with modern event planning expectations. Pushing events to a calendar took multiple, nonsensical steps, moving between systems that had a difficult time talking to each other; departments were stuck with a single request process that had to work for all of them with no customization options; and often, Reed’s own technical teams would need to get involved to keep it all afloat. “EMS interface lacked a lot of customization, and on top of that, we weren't able to get the customer support we needed anymore to make [those customizations],” he explains.
The Solution
Looking to explore alternatives, Reed College learned about 25Live from Walt Martin, who connected them to Julia Noonan. After seeing 25Live in action and running several questions by the sales team, Robert’s team began to envision all the ways time could be saved and resources reduced with the help of this new system.
Decision makers at Reed took some time to come around to the idea, but soon enough, they signed off, and the implementation process started in late 2025. “Our main concerns were how people would accept the new system because change can be really difficult...”
About Reed College
Reed College is a private liberal arts and sciences college in Portland, Oregon. Founded in 1908, Reed enrolls roughly 1,300 undergraduates and maintains a 9:1 ratio of students to faculty. Students choose from 38 majors spread across 26 departments, including 13 interdisciplinary options. In 2025, Reed was designated a Research College and University under the Carnegie Classification system.
Implementation was rolled out slowly to ensure the team had the bandwidth to onboard everyone smoothly. As more and more departments were introduced, the benefits of this new system took effect. “Folks just jumped right into it. They even found features that I didn't really know about and were able to use those themselves.” Robert elaborated: “Because the security groups were so well designed and created, they're not going to break the database at all. I think that relieved a lot of pressure off of new users — especially if they're not tech savvy — who might have been thinking, ‘oh, if I hit the wrong keystroke or do something, I'm going to ruin it for everybody’. And that's just not the case with 25Live.”
The Results
Moving to 25Live has brightened the mood around scheduling for end users. “After the implementation, we've discovered that the community feels more confident in the booking process, and [it] gives them more buy-in and validity to our own office. They love the transparency, and it causes less anxiety knowing what is happening around their event. They can see in real time what they're requesting and what might be available.”
Robert’s team has been happier as well, testing out seemingly endless customizations to fine-tune their processes and reaching out to support teams when questions come up. “We were very disappointed for years with the lack of support from EMS, and we can compare it now to the support from 25Live, which has been excellent, timely, and thoughtful,” says Robert.
The benefits have reached beyond just the events office. “We had a whole server devoted to EMS that we were able to free up. We had staff that were assigned to EMS, and they're now able to do other things that are more pressing.”
When asked what he would say to other schools considering a transition, Robert says: “You are getting what you pay for, and it's going to be more than you could imagine.” He continues, “Having a system that is current and evolving with the evolving needs of higher education and events is something very important to us, so we're able to meet the current needs of folks, and we anticipate we're going to be able to meet their future needs just as well.”
